POSITION DESCRIPTION

We are looking for an exceptional Project Coordinator to help facilitate organizational projects and run the daily company administrative operations. The ideal candidate will be a hard-working professional able to undertake a variety of office support tasks and work diligently under pressure on assigned projects. This role includes managing and developing timelines, project schedules, status reports, and grids. This person will be comfortable working with a high degree of attention to detail, maintain discretion, and incorporate new and effective ways to achieve better results.

ROLES

PROJECT MANAGEMENT RESPONSIBILITIES:

  • Manage common documents including agendas and recaps for weekly meetings and all other requested meetings
  • Sort and distribute communications in a timely manner
  • Assist with the maintenance of Box, Airtable, and Click-Up, and ensure that the team is properly using all organizational programs
  • Understand project objectives and strategy; set meetings and lead the team in identifying, communicating and developing solutions for any potential problems or opportunities related to tactical execution
  • Responsible for helping to coordinate, plan resources, and identify the assets required to best execute content needs on assigned projects
  • Foster collaboration and positive conflict resolution among team members
  • Monitor and track deliverables to report on project progress
  • Manage content creation and creative timelines
  • Write and create various Requests For Proposals
  • Have an understanding of contract writing terms
  • Have a basic understanding of the lifecycle of online and offline projects

OFFICE ASSISTANT RESPONSIBILITIES:

  • Support the general needs of Executive Team as requested, including but not limited to scheduling, internal & external communication, travel itineraries
  • Arrange company events to take place outside of the workplace, such as large dinners, off-site retreats
  • Organize office and assist associates to optimize procedures
  • Create and update records ensuring accuracy and information validity
  • Monitor supply levels, shortages, and mange ordering
  • Resolve office-related malfunctions and respond to requests or issues
  • Coordinate with other departments to ensure compliance with established policies
  • Perform receptionist and other duties when needed
  • Maintain a positive working relationship with co-workers and clients

REQUIREMENTS

  • Must be aligned with the core values of the organization
  • One (1) year of experience in project management in an event company environment preferred, or proven experience as an office assistant or in another relevant administrative role
  • Team orientation and motivation
  • Ability to effectively and independently manage small- to medium-sized projects
  • Thorough understanding of office management procedures
  • Excellent organizational and time management skills
  • Excellent written and verbal communication skills, including proposal writing
  • Ability to research and find answers to a variety of inquiries in a timely manner
  • Proficiency in Microsoft Office and Google Docs
